Our submission policies apply exclusively to scientific abstracts, clinical vignettes, and innovations submissions. These guidelines are specific to these categories and do not apply to other types of submissions.
- Publication Restrictions: Content presented at the SGIM Annual Meeting must not have been published or accepted for publication (article or abstract) before the submission deadline.
- Papers Under Review: Papers under review at the submission deadline are eligible, even if published before the meeting.
- No Duplicate Submissions: Abstracts cannot be submitted more than once to the SGIM Annual Meeting, whether in different years or as multiple submissions in the same year.
- Note: This does not prevent submissions to both SGIM Regional and Annual Meetings or separate abstracts from the same dataset featuring different analyses.
- Membership: Authors/presenters are not required to be SGIM members.
- Late-Breaking and Encore Submissions: Submissions previously presented at other events before the annual meeting will not be accepted.

- Registration Requirement: All attendees, including presenters, must register and pay the required fees.
- No One-Day Fee: There is no one-day registration fee for the Annual Meeting.
- Invited Speakers: If you invite colleagues to present, ensure they understand that registration fees apply and are not waived.
- Financial Disclosure: All submitting authors and co-authors must complete a Financial Disclosure in ScholarOne before the submission is considered for acceptance.
- Non-Compliance: Presenters/authors without completed disclosures will be removed from the abstract and agenda.
- Disclosure to Attendees: Disclosure information will be available to attendees via electronic meeting materials (website and app) before the abstract is submitted.
- Session Disclosures: Speakers must disclose all author/co-author conflicts at the start of their session and on an opening slide. A Disclosure Slide Template will be provided before the meeting.
- Session Slides: For sessions where one or more of the presenters/authors has a Financial Disclosure, you may be required to provide your slides in advance (3-4 weeks before the meeting) so that they can be reviewed for any possible conflict of interest and any mitigation required.
- Funding Pre-Approval: Session coordinators seeking external funding must follow pre-approval procedures in compliance with SGIM’s Policy on External Funding.
- Commercial Funding Requests: All requests must be reviewed and approved by the Annual Meeting Program Committee.
- Funding Agreements: If funding is secured from commercial entities, a letter of agreement between SGIM and the funder is required.
- Overhead Costs: SGIM retains a portion of raised funds to cover administrative overhead. Contact SGIM staff to ensure compliance with the revised policy.
