Expo & Career Fair

Participation is subject to SGIM approval. SGIM reserves the right to approve or decline applications based on the products, services, programs, or proposed activities of the organization, and deemed appropriate for participation in the Expo and Career Fair. Exhibit space may not be assigned, shared, sublet, or transferred to another organization without prior written approval from SGIM.

Exhibit space is not considered confirmed until the completed application has been received and accepted by SGIM.

SGIM reserves the right to release an exhibit space if payment is not received by the stated deadline. Organizations with outstanding balances will not be permitted to set up or participate in the Expo and Career Fair.

SGIM reserves the right to assign, relocate, or modify exhibit space assignments when necessary to accommodate meeting requirements or the overall success of the Expo and Career Fair. Exhibitors may not move, exchange, or occupy another organization's assigned space without prior approval from SGIM.

Exhibitors may distribute educational, promotional, recruitment, or informational materials that are directly related to their organization and approved activities. Freestanding signs, banners, backwalls, pop-up displays, furniture, monitors, and other exhibit elements must remain within the assigned area unless specifically approved by SGIM.

Exhibitors are responsible for all costs associated with electrical service, audiovisual equipment, furniture, booth furnishings, and other utilities or services. These are not included in the booth or table packages.

SGIM reserves the right to remove any material, display, activity, or item that it determines to be inappropriate or disruptive.

Attendee information obtained through SGIM-approved lead retrieval may only be used in accordance with the applicable terms, privacy policies, and permissions governing that information.

Exhibitors are responsible for all shipping, material handling, storage, and related expenses. All exhibit materials must be shipped and received according to the instructions and deadlines provided by SGIM and/or the official general services contractor.

Exhibitors must complete booth installation during the designated move-in and set-up period. Exhibitors may not begin dismantling their exhibits before the official closing of the Expo and Career Fair without prior written approval from SGIM. Early dismantling may jeopardize eligibility for future SGIM exhibit opportunities. Specific setup and dismantle dates and times are outlined in the Exhibitor & Sponsorship Prospectus.

All cancellation or transfer requests must be submitted in writing to annualmeeting@sgim.org. The cancellation schedule and refund terms are listed under How to Apply & Submit Payment above.

Failure to occupy an assigned exhibit space does not constitute cancellation and does not relieve the exhibitor of financial obligations.

SGIM is not responsible for any indirect, consequential, travel, lodging, shipping, or other expenses incurred by exhibitors as a result of cancellation, postponement, relocation, or modification of the meeting.

Exhibitors participate in the Expo and Career Fair at their own risk. SGIM, its officers, directors, employees, volunteers, agents, contractors, and representatives are not responsible for loss, theft, damage, or destruction of exhibitor property, equipment, materials, products, or personal belongings. Exhibitors are responsible for obtaining appropriate insurance coverage for their property, personnel, equipment, and participation in the meeting. Exhibitors are responsible for any damage or injury caused by their representatives, employees, contractors, agents, products, equipment, displays, or activities.

SGIM reserves the right to refuse, restrict, relocate, or remove any exhibit, exhibit component, product, service, promotional material, activity, or individual that, in SGIM's sole discretion:

• Violates these Rules and Regulations;
• Violates applicable law or venue policies;
• Is unsafe or creates a health or safety concern;
• Is disruptive to attendees or other exhibitors;
• Is inappropriate for the professional environment of the meeting;
• Is inconsistent with SGIM's mission or policies; or
• Otherwise interferes with the successful operation of the Expo and Career Fair.

In such circumstances, SGIM may require immediate correction or removal without refund.

SGIM reserves the right to amend these Rules & Regulations when reasonably necessary. Exhibitors agree to comply with additional requirements established by SGIM, the venue, official general services contractor, fire marshal, local authorities, or other applicable entities.
